What this policy covers
This policy covers information we collect about you when you visit aesthetix-systems.co.uk, join our waitlist, or get in touch with us.
It does not cover the personal data a clinic holds about its own clients inside the Aesthetix platform. Where a clinic uses our software, the clinic is the data controller for its client records and we act as its data processor. That relationship is governed by a separate data processing agreement between us and the clinic, not by this policy.
What we collect, and why
When you join the waitlist or contact us

Our legitimate interest here is responding to people who have deliberately asked us to get in touch about our software. We do not add you to a general marketing list on the strength of a waitlist signup, and we do not sell or share your details with anyone for their own marketing.
When you visit the site
Our hosting provider records standard server logs when a page is requested. These include the IP address the request came from, the page requested, the time, and basic browser and device information.
We use these to keep the site running and secure. We don’t use them to build a profile of you, and we don’t combine them with anything else we hold.
When you email us
We keep the email and our reply so we have a record of the conversation. That’s it.
Where your information is held
Our systems run in Frankfurt, Germany (AWS eu-central-1), on infrastructure provided by Supabase and Render.
Germany is covered by UK adequacy regulations, so your information stays within a jurisdiction the UK government has recognised as providing an adequate level of data protection.

Where a provider processes information outside the UK and EU, we rely on the safeguards they have in place, including standard contractual clauses and the UK International Data Transfer Addendum.
How long we keep it
Waitlist entriesuntil you ask us to remove you, or until we’ve been in touch and it’s clear there’s no fit, whichever is sooner. We review the list periodically and remove entries we’re no longer in contact with.
Email correspondence up to two years from our last exchange.
Server logs retained for a short period by our hosting provider for security and diagnostic purposes, and not linked by us to a named individual.
Your rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you
- Correctanything that’s wrong
- Delete it, in most circumstances
- Restrict how we use it
- Objectto us using it where we’re relying on legitimate interests
- Portability receive it in a machine-readable format
- Withdraw consentat any time, where we’re relying on consent

If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk, or by calling 0303 123 1113. We’d rather you came to us first, but you don’t have to.
Security
We take the security of your information seriously. Access to our systems is restricted to those who need it, credentials are held outside our codebase, and access to production data is logged.
No system can be guaranteed completely secure, and we don’t claim otherwise. If a breach ever affects your personal data and is likely to result in a risk to your rights and freedoms, we’ll notify the ICO within 72 hours and tell you directly where the law requires it.
Changes to this policy
If we change this policy we’ll update the date at the top. If the change is significant and we hold your email address, we’ll tell you.
